Dynamics Ax 2012 R2 – coming soon to the U.A.E.

October 28th, 2012

Expected release date: 1 December 2012

1. Manage global operations through a single deployment and thereby trim overall deployment costs and still manage operations in several countries with shared infrastructure.

2. More localization which includes , China, Japan, India, Brazil, Russia, Poland, Czech Republic, Hungary, Latvia, Lithuania and Estonia.

3. Data partitioning capabilities to allows effective sharing of data between business units.

4. More powerful business intelligence. New KPIs, integration with Power view and data visualization technology of MS SQL Server 2012.

5. Improved workforce management, talent and central resource skills repository management process.

6. Many enhancements for ALL areas – Manufacturing, Retail, Public Sector and Professional services firms.

What’s new in R2?

A significant investment to expand the capability of AX across the application footprint. I’ve grouped these into 4 focus areas, which are highlighted below

  • Manufacturing – Improve manufacturing operations for process manufacturing. In this release new capability for management of potency, traceability and product batch sequencing to help process manufacturing customers to streamline their operations. Potency management enables management of the concentration of an active ingredient through the entire manufacturing process. In addition, the improvement of traceability where important attributes are generated and captured during the manufacturing process can also be transferred to subsequent lots.
  • Retail – Manage your assortments across channels in your retail operations. New multi- and cross-channel capabilities for retail organizations, including catalogue management, cross-channel workflows, and integrated sales channel management will include a new “out of the box” web storefront offering based on the new version of SharePoint 2013 to let customers  provide modern and integrated web commerce experience across different devices to their customers and is fully integrated into Microsoft Dynamics AX 2012.
  • Public Sector – Simplifying the financial budgeting process in public sector organizations. Combining the power of Microsoft Excel with the power of the workflow engine inside of Microsoft Dynamics AX 2012,to support new capabilities in budget formulation with workflow approvals, flexible tracking, and reporting. R2 will enable complex budgetary requirements using Microsoft Excel as well as integration with financial budget transactions, position and payroll data to enable budgetary control.
  • Professional Services – Improve utilization of resources across your organization. Improvements in the intercompany scheduling capability of project resources will specifically benefit services organization with resources and projects across multiple entities and will improve utilization of your resources.
  • HR - Gain efficiency in workforce management. We continue to invest in the Human Capital Management (HCM) capabilities to improve employee lifecycle management, including enhancements in position control with tighter budget integration..
  • Improve business insights for all users in the context of their work. This ranges from easy operational reporting, to measuring business performance through Key Performance Indicators (KPIs) and benchmarking as well as to providing deep analysis and actionable insights powered by new rich visualizations technology. Specifically, in this release:
    • New and updated KPI content – where we deliver a set of new and updated KPIs that will come with the SQL BI cubes shipped with the release. These KPIs will surface on the different role centers.
    • Enabling the new Power view technology introduced in Microsoft SQL Server 2012. This will help users to discover new insights through a highly interactive and familiar data visualization technology.
  • Increase global reach and simplify international operations – Microsoft Dynamics AX is used by customers across geographies – customers that themselves utilize Microsoft Dynamics AX to manage their operations across many different geographies. In this release:
    • Increased the global reach of Microsoft Dynamics AX 2012 by adding localization for 11 new markets (Brazil, Czech Republic, China, Estonia, Hungary, India, Japan, Latvia, Lithuania, Poland, and Russia), extending the reach for Microsoft Dynamics AX 2012 to support 36 localizations worldwide.

Figure 1: Arabic and Japanese UI

    • Reduced complexity for those organizations that increasingly operate their business throughout multiple countries by simplifying centralized deployments. Microsoft Dynamics AX 2012 already supports sharing of data, with the concept of data partitioning, to isolate data of individual units/companies, while still reaping the benefit of a shared infrastructure.
  • Continue to simplify the application lifecycle. From simplifying single instance international ERP deployment scenarios up to simplifying setup and functional implementation with new and improved lifecycle services.
    • Code Analyzer will help analyze the performance of custom code based on rules in the design phase of an extension by customers or partners.
    • Data Migration Framework will support import, export and migration of data to/from Microsoft Dynamics AX 2012 in the deployment phase. It will cover over 20 scenarios including: customer, vendor, product, employee, BOM, open sales and purchase order data, which can be extended by partners and customers.
    • Diagnostics Framework to analyze data collected from the installation’s servers based on rules. To be used in the maintenance phase of your Microsoft Dynamics AX 2012 environment(s).

A recent McKinsey research shows that the largest companies headquartered in developed economies currently derive only 17% of their revenues from emerging markets, even though these markets represent 36% of global GDP. Moreover, despite advantages in scale, technology, and access to capital, multinationals often lose out to more nimble local competitors. There are huge opportunities still untapped – significant growth is predicted, with GDP expanding from $12 to $30 trillion by 2025 – and 2 billion new consumers to enter the world market!

Data Partitioning

What are the options and benefits of sharing data?

A single instance deployment provides the IT-side of the house with the opportunity to share IT infrastructure between the legal entities; this could drive down costs of the deployment. In addition to IT efficiencies, business operations benefit by sharing data and business processes across legal entities. Business efficiencies and benefits include:

  • Management of vendors, customers and employees can be handled centrally, streamlining these relationships on a global basis
  • Management of product information is centralized, including release management of the products to the individual organizations
  • Intercompany business is automated for processes including sales, purchasing and the corresponding financial transactions
  • Services, including central AR, AP and procurement, are shared

How does this work? What data is being shared and what is not?

Organizations in a single instance deployment use the same code base and system settings. These organizations have shared application data including parties, products, and locations. The transaction data such as sales orders or customer and vendor data is specific to each legal entity.

When is it beneficial to isolate data?

In certain, specific cases, organizations do not want to share data and processes between all companies. But these organizations do want to achieve IT efficiencies by running on a shared infrastructure. This scenario is typical in holding organizations with divisions that have little in common, yet have a strong identity, and are supported by a central IT organization. Sharing data between these divisions would not lead to efficiencies.

Data partitioning gives organizations the best of both worlds and is planned to be available in R2!

In the planned R2 release, organizations have a choice with data partitioning. Data partitioning makes it possible to divide application data into partitions of organizations. You will be able to share application data and processes between organizations within a partition but not across partitions (see this scenario illustrated in Figure 1).

Figure 1: Data Partitioning in Microsoft Dynamics AX 2012 R2

The table below illustrates the differences between three deployment alternatives: single instance, single instance with data partitioning and multiple instances. In the last scenario, you could use data partitioning as well.

Entities/deployment Single instance Single instance with partitioning Multiple instances
Application data and processes Shared across all Legal Entities (LE) Shared across LEs within a partition. Isolated across LEs in separate partitions. Shared across LEs within an instance. Completely isolated across instances
Master data management Global master data such as parties, products is shared across LEs Global master data such as parties, products is shared across LEs within a partition Global master data such as parties, products is shared across LEs within an instance. Completely isolated across instances.
Meta data and customizations Same across all legal entities Same across all legal entities Unique per instance
IT infrastructure (includes servers, middle tier) Single Single Multiple
Database Single Single Multiple

U.A.E. to introduce Annual Health Checks for Professional Drivers

October 28th, 2012

A new UAE federal law will come into effect by 2013 and require that professional drivers will have to pass an annual, mandatory, medical test to obtain the necessary permits to work as professional drivers in the country.

It covers all categories of drivers e.g.  taxi drivers, bus drivers, heavy vehicle and pick up drivers, as well as chauffeurs and domestic drivers. It does not appear to extend to salesmen and PROs.

Those with certain health conditions such as heart ailments, diabetes and epilepsy will not be able to continue with their jobs.

Prophix Conference Amsterdam 2012

October 16th, 2012

With Gitex in full swing at the Synergy stand in Dubai I find myself in non stop pouring rain in Amsterdam. Its been worth it.

Experienced partners from around the globe ensure informed discussions. A contingent of Prophic senior managment led by CEO Paul Barber has outlined the tremendous road map enhancements to come, some as early as the end of this month and more for early next year.

Its very encouraging to see how seriously the company takes customer and partner feedback into account to understand what really matters to the end users and financial controllers.

The conference started with partner awards for exceptional wins, whcih is always good for morale, and an update of overall company performance which continues to show healthy growth. A good example is Revlon’s decision to purchase Prophix to work with Dynamics Ax across the group.

Its not all been work, a brisk walk through Amsterdam led to Cafe Amsterdam an old pumping station now a fine restaurant. Tonight we will visit one of the best restaurants in Amsterdam De Silveren SpiegelThe Silver Mirror. With temperatures down to 11 deg and continuous rainfall and a Dubai wardrobe I am hapy to note it is a lot, lot nearer to our hotel! These events help to cement partner relationships and mutual support and builds the confidence needed for future collaboration on multi-geography implementations.

Next month we will be holding half day seminars in Dubai and Abu Dhabi - Register to lear how to close your year end faster, hear a thought leadership presentation, and also hear about the latest news about the Microsoft technology stack, see a live demonstration and hear from a major user operating across this region. Book early to secure a place.

(Its a busy week for Synergy management and sales team so please be patient if we take a little longer answering emails this week.)

Synergy Software Gitex 2012

October 16th, 2012

What a great start to the conference – literally hundreds of visitors to our stand. Some of the solutions that are creating a lot of interest:

  • Schlage Handpunch  for Access control together with Interflex software for exceptional Time and Attendance management and other new access control options kept the team busy as visitors queued up to try. Many features that cannot be matched. and of course we integrate to our HR, Payroll  and Sunsystems financial solutions.
  • Microsoft Dynamics CRM-  The many enhancements in Dynamics CRM 2011 and the familiar Microsoft ease of use and integation has delivered huge growth in users over the last year and this year adoption  is expected to grow even faster. Transactional business systems and sales analysis do not deliver the same bottom line business benefits as a system with business processes configured to  work the way you do, to provide better customer service,  more informed and targetted marketing, and that focuses on understanding and strengthening customer relationships rather than just focus on financial analysis of transactions.
  • Prophix Corporate Performance Management; automate and manage the budget process, close your month and year end faster, simplify and automate consolidation, undertake detailed planning, ensure compliance.  All built on Microsoft technologies that leverage SSAS, SQL, Excel,  SharePoint. Understand the significant  difference between the structured presentation of information delivered by Prophix Corporate Performance Management and traditional BI tools. Register for our seminars next month.
  • Asset Management: More functional and easier to use and lower cost  than most erp FA registers, with more flexible depreciation options, and ability to configure the system to hold additional data relevant to your business.  The solution has addiitonal modules for mobile asset count, integration to RFID readers for auto tracking of assets, Planned maintenance, Project Managment Accounting for Capital Projects
  • IT Policy , Enforecment Audit and Compliance. Government pharmaceuticals, financial services, health care are such some of the sectors where robust and compliant systems are essential. We offer a unique set of monitoring and control solutions, as well as unmatched failover disaster recovery.
  • Intralinks is a  solution for encrypted document sharing and collaborationin a secure workspace. It is used by around 2 million users at any given time. The SaaS model lets you use  it for just as long as you need, with just the right number of users for the task in hand  maybe a merger or an acquisiton, or a new product launch or a sensitive large tender, or contract.  Vary the number of users by project etc  and set precise rules on who can see and do what, when.

Still time to meet with us and we have not run out of coffee yet!

Transport and fleet management – GPS tracking – home delivery for U.A.E.

October 11th, 2012

Where does erp start and stop. Usually ts aorudn inventory – when it arrives and youreconginse finaicla liability and when it leaves and you pass title on shipment   to the client.

So how do you know where the inventory is en route or,  hwo do you know when a vehicle will be available to deliver to a particuler client, how long each delivery took, or when do you fiind it out whether each delivery was successful, whehter a POD was signed?, How do you know where a vehicle is right now if you need to reroute it ?  How do you track the temperature of cold store goods during delivery? How do you keep track of incremental costs as trucks cross borders?.

If you have a large distribution fleet e.g petrol distribution, or a large retail chain, or you manage home deliveries – ecommerce, parcel delivery etc. then you will be well aware of the need for systems to extend traditional erp.

Dubai has beena major distribution hub throughout most of its existence. New ports and airports across the region, and ralways planned to link those with logistic and material cities will see the whole region increase its importance as a logistics hub not only for this region but between North and South and East and West.  Africa is growing rapidlythere is expansion and rebuilding in many areas of the region  and China and Europe will use this region as the point of entry.  Internet shopping and ecommerce and lean processes are  challenging traditonal distribution models, while high oil prices, energyy conservation and carbon emission control all call for better solutions.

Huge advances in GPS, mobility and dot net technology has provided us with the necessary tools to provide cost effective solutions specific to your business. Ask us about how WebXpress can  extend your exisiting systems to signifcantly enhance your supply chain management – just as it has done for many other logistic operations.

See us at Gitex next week on Stand D7-20 to D7-22

Why CFOs are interested in Dynamics Ax from Synergy Software Systems

October 10th, 2012

Aligning an ERP implementation with your company’s overall business strategy requires many decisions to be taken not least of which is the choice of erp system.  Options range from:

  •  a decentralized deployment where you allow your subsidiaries to choose their own solution,
  •  a two-tier ERP strategy where larger business units use a global ERP solution and smaller units deploy a standard solution,
  • and a single global instance deployment where all business units use the same ERP instance.

So, what’s your CFO’s preference?

According to a Gartner report published in July 2012, “59 percent of senior financial executives in this study preferred a single, global ERP system for their enterprise”.* Gartner also finds that, “This is the approach that should be considered in the integrated organization where there is a high degree of dependence and commerce among units”.*

A single-instance strategy is compelling in that it helps lower cost in the many organizations that struggle with redundant data, high training costs and lack of insight across disparate systems and processes.  It also supposrts central strategic planning , compliance and sharred services

Yet, single instance deployments – while driving operational efficiencies and process standardization – can bring challenges. Some are related to the desire of a business unit for more autonomy; others are of a more technical nature. Sonsiderations when evaluating a single instance deployment:

  • Global organizations with legal entities operating in different countries need to comply with local statutory reporting and legal requirements. Trying to comply with these different requirements in one single code base can add system complexity, both in configuration and management as well as user experience.
  • Whenever many users access the same single instance it is critical that access to data and business processes are restricted in a way that can be easily monitored and managed.
  • Although there might be a high degree of commonality across entities, there still needs to be support for industry-specific requirements and specific processes and policies.
  • Acquistion and disposals of subsidiaries can bring challenges in a  single instance
  • If the company has multiple verticals than different  industry specific localisations or add  ons may conlfict
  • Upgrades are more diffficult especially if there are add ons which also need to be upgraded simultaneously
  •  Every extra country means another gvenrment budget and eahc these ah potentail to impact the system for all users if new coding or reports are needed –  especially of the build includes payroll

One of the key objectives for Microsoft Dynamics AX 2012 R2 which is due out by year end is to further improve support of a single global instance ERP implementation when it is the preferred implementation option

How does  Microsoft Dynamics AX 2012 supports single instance deployments?:

  • Additional support of localizations managed in a single instance
Microsoft Dynamics AX 2012 (released in August 2011) already delivers regulatory support and localizations for 25 countries. With the release of Microsoft Dynamics AX 2012 R2 an additional 11 countries will be supported – enabling deployment for these new countries as well as all existing countries in one single instance. The countries for which localization and translation are planned include: Brazil, Czech Republic, China, Estonia, Hungary, India, Japan, Latvia, Lithuania, Poland, and Russia.
  • Minimization of user exposure to unnecessary complexity
While all users have access to the same instance, country specific functionality is enabled based on the location of the legal entity. A user’s access to company specific capabilities can be restricted through security setup to help simplify the implementation and user experience.
  • Data management and security
In Microsoft Dynamics AX 2012 data can be easily shared to avoid redundancy, and data security can be increased by using security policies and effective dates. In the upcoming release there is added functionality to support scenarios when data sharing is not permitted or beneficial. Data partitions can be created to isolate and restrict access to data sets. This is a must have capability in a scenario where business units are autonomous and sharing data would add additional complexity or is even prohibited.

While Microsoft Dynamics AX 2012 supports multiple ERP deployment strategies, the focus in the upcoming release is to better enable a global single instance. There are many deployment options to consider, with Microsoft Dynamics AX you can choose the one that best fits your business strategy.

For a multi company organisation compliance is a major concern. The Ax 2012 organisation framework lets you define and enforce policies tha can be published and enforced across companies with intercompany workflows and approvals.

The in built in  features for Budget and Consolidation, the strong Management Reporter financial reporting tool, one click integration to Excel, builit in analysis cubes, detailed audit trail, dimensional chart of accounts, and the familiar Microsoft interface and ease of use provide a powerful simple and agile  solution for CFOs whatever deployment option is chosen. These options include SaaS. cloud and on premise options. Synergy Software Systems is one of the few practices with real experience of rolling out mutli-country erp systems and can give pragmatic advice on the different options. As the regionalAxPact Alliance member we have an expectional network of skilled Dynamics Ax global partners.

Dynamics CRM in Dubai- on premise? on cloud? SaaS? How to choose?

October 9th, 2012

Dynamics CRM 2011 with the xRM platform installed on premise gives you great flexibility to mould CRM to work the way your business does. This is the traditional implementation mode in which the  Microsoft CRM licensing and the hardware needed to run it are purchased up front and managed on site by the customer. The customer owns every piece of material that is needed to run a Microsoft CRM solution and is responsible for its use and maintenance.

How does this differ from CRM online?

This you tube video compares the versions:

As a Microsoft partner that sells and supports Dynamics CRM, one of the questions  from prospective clients is, “How do I decide which version of Dynamics CRM is right for my business?”

Factors to consider:

* Dynamics CRM users are charged per GB of storage space they use. However, if this is the only thing keeping you from choosing Dynamics CRM Online, these costs can be mitigated by using a separate document storage solution i.e. SharePoint.

** Fully trusted plugins are not supported. Whenever you create plugins for Dynamics CRM online always test your plugins in sandbox mode. Dynamics CRM online only supports plugins to run in sandbox mode.

*** Dynamics CRM 2011 online only supports Fetch XML based custom reports.

  •  CRM 2011 Online does not support custom workflow dllsCRM 2011 Online makes it impossible to database restore to a specific date/time
  • CRM 2011 Online limits you to 200 custom workflows and 200 custom entities
  • CRM 2011 Online requires you to use the Windows Live ID (AD integration is coming, but it is not here yet)
  • CRM 2011 Online does not offer an email router — this must be locally hosted
  • No Report Scheduling Wizard in CRM Online
  • There is a limit of 300 processes (workflows) and 300 custom entities in the online version.
  • Plugins are supported in CRM 2011 online, they are running inside a Sandbox (service), but this means they cannot access local files, etc. The Process limit number is 200.

CRM 2011 Onpremise – doesn’t have the Internet Lead Capture Feature

Feature detail comparison

Deployment differences:

Why Companies Prefer Dynamics CRM Online

  • To avoid investing in the hardware and software required for on-premises version. On-premises need a dedicated team of managers, business analysts and developers to maintain the whole CRM framework.
  •  Having their Dynamics CRM database on Cloud might be safer because it is constantly backed up without fail. . It is seen that most threat to the data comes from internal employees and this is not the problem, any more, on the Cloud.
  • It can be accessed 24*7 and anywhere around the world. The company employees only need an active internet connection and Internet Explorer.

Why Companies Don’t Prefer Dynamics CRM Online

  • Slow internet connection in the countries where the companies operate could be a major problem. One of the requirements is to have an active internet connection. A fast connection always helps.
  • There are some technical limitations to Microsoft Dynamics CRM 2011 online as compared to on-premises version. Companies would like to have full control over the technical development around Dynamics CRM 2011.
  • Companies and their management are still are not comfortable putting their sensitive business and client data on the Cloud.
  • Medium to large organisations don’t mind investing in hardware and software. These enterprisesalready have an IT team.
  • Performance of Microsoft Dynamics CRM Online is often good but sometimes not good enough. In on-premise environments performance can be tuned on both hardware and software level, which is not possible in Online.
  • Some companies prefer to have their CRM behind firewalls so that a user account that has been compromized does not give people outside the office access.
  • Some companies require data to be physically stored in certain countries which cannot be handled by CRM-Online, especially companies in healthcare, banking and defence industries.

Limitations of Dynamics CRM Online Vs On Premises

There are few limitations of Dynamics CRM 2011 Online. Many of them are due to the nature of being on Cloud.

  • There is a limitation to maximum number of custom entities that can be created. This limitation is high and rarely will any of the enterprise level CRM 2011 projects max out this limit of custom entities.
  • You have to pay for every GB of database usage. If your CRM 2011 has significant file attachment requirements then the database size could go in terabytes. To minimise these costs, companies can use a document storage solution such as SharePoint 2010 along with Online Dynamics CRM 2011.
  • Dynamics CRM online doesn’t support custom workflow activity assemblies. The business rules and the functionality which you intend to run should be put inside a plugin.
  • Fully trusted plugins are not supported. Whenever you create plugins for Dynamics CRM online always test your plugins in sandbox mode. Dynamics CRM online only support plugins to run in sandbox mode.
  • Custom ASPX pages are not supported for customising Dynamics CRM online.
  • Custom SSRS reports which are based on “TSQL and filtered views” data sets are not supported. Dynamics CRM 2011 online only supports Fetch XML based custom reports. TSQL gives you much more flexibility as compared to Fetch XML.
  • A normal On-premise user CAL can be used in multiple environments, ex. QA, production, training, staging, development. In CRM-Online, a separate user access has to be bought for each organization.

  • You can have your own dedicated Dynamics CRM 2011 on Microsoft Cloud in less than 5 minutes.
  • You will be paying only for what you need.
  • You don’t have to worry about backups any more. Microsoft hardware and software setups will take care of backups.
  • You don’t have to employ a team of CRM administrators. Microsoft team will take care of all your needs.
  • On top of these benefits your whole Dynamics CRM 2011 infrastructure sits on the solid foundation of Azure framework.

So which to choose?

The good news is that we cna offer either. The better news is thatyou can have the best of both worlds from Synergy Software Syytems we can also offer a SaaS deployment of the on-premise model, or  a private cloud where you don’t have to worry about up-front investment in hardware, nor in  licences, nor worry about back ups, patches etc and you still have a full set of on premise functionality. Our cloud  solution meets all international standards and provides the most robust cloud deployment available -  and the most flexible contract terms – and guaranteed SLAs. You can cancle with one month notice you can own the licences or opt for  a SaaS model. SaaS is very attractive when you have a very  seasonal business and need to increase/decrease staff for certain times of the year e.g. during the Shopping festival, prior to an exhibtion or event, summer holiday and Ramadan reduced activity etc. Only pay for what you need.
